Facilities & Operational Coordinator

We are excited to be recruiting for a full-time Facilities & Operational Coordinator to join us and provide support to our Facilities and Operations team.

Your Role

In this role, you will be supporting the Facilities & Operations team with a wide range of organisational tasks. In order to carry out the duties of this role effectively, a flexible approach to working is essential, as is the ability to meet tight deadlines and be able to work effectively both individually and within a team. Key responsibilities of the role include:

  • Assisting with Ad-hoc Company Projects
  • Screening and handling incoming calls and emails (Helpdesk)
  • Preparing agendas and taking minutes
  • Liaising with cleaning and maintenance providers as appropriate
  • Ordering facilities related supplies
  • Liaising with contractors to arrange dates
  • Assisting in collating details of all practice H&S documentation & Health Board applications
  • Being the main administrator of Radar (Internal compliance system), Tabs FM(cafm system) and Global4 (group telecom platform)
  • Assisting in the training of new practice managers for Radar, Tabs and G4
  • Assisting the operational team with Company events
  • Collating all relevant health and safety documentation in a timely manner ensuring all up to date in line with regulation

About You

  • An excellent telephone manner and a positive approach to patient and employee experience is a requirement
  • Ability to deal with changing priorities while managing your workload effectively
  • Relevant experience gained in a general dental practice environment is preferred
  • Proven track record in a customer/patient focused reception environment is preferable
  • Relevant experience in the use of Software of Excellence would be advantageous
  • High level of IT proficiency – using Microsoft office is essential
  • Relevant qualifications gained in facilities or dental administration would be advantageous
